For nearly a decade we have struggled with finding the right support solution. In previous years we’ve gone through HelpScout, Zendesk, as well as a number of self-hosted solutions. Unfortunately, none of them were or are quite right for us, and we know we’re not alone in this conclusion.
It all comes down to a number of factors. Factors like cost. For a small team of 15 people, the cost – at the time when this post is written – of using HelpScout would be $3,600/year. Zendesk at their entry level plan charges $9,900/year for a team of 15 agents. Again, this is the cost for their cheapest plans.
HelpScout and Zendesk are great, don’t get me wrong. Their solutions are very good for big enterprises with a lot of workforce. Sadly, smaller companies with more modest budgets can’t quite justify spending that much money on their services. Even if you're a big company, why would you want to spend that much?
Some self-hosted solutions will charge you what seems to be a reasonable amount of $500 – $1,000/year. If you already have a website, that’s fine, there’s usually no need to worry about additional hosting costs. But what you usually don’t factor in is the internal labor and the time that goes along with setting up the whole thing. Personalizing it can be a very long and stressful process.
You could also go with a free forum-based solution, although it might appear impersonal and outdated. Open forum solutions also don’t provide proper ways of dealing with more private issues secretly and discreetly. In some instances this is important; for example, when dealing with payment issues and getting private access details.
What else? Just a shared email inbox? Isn't that just a start to a very terrifying horror scenario not that far down the road. "It'll do" are the famous words preceding an imminent disaster.
