I’ve been exploring the new Guest Access feature over the past week and it’s a fantastic addition, slick, intuitive, and already solving real problems for us. We’ve identified four strong use cases across the university:
Departmental event registrations managed by local admins
Short-course applications with team review
External stakeholder submissions (e.g., suppliers/partners)
Internal request workflows where lower level admins need limited access
One enhancement that would make it even stronger for us is entry management aligned to data retention and GDPR rules within the EU. Specifically:
Enable designated users to delete entries automatically after a defined retention period (e.g., one year) or manually as needed.
Make deletion permissions configurable per form and per user (including specific guests), with a simple toggle to grant/remove delete access.
Support scheduled purges, bulk delete, and audit logs
These options would empower lower-level staff to manage entries day to day and take the GDPR-related entry-management burden off our Cognito Forms admins, especially valuable at our scale (1,000+ forms and growing).
And just to be clear, we’re asking about potential future features/roadmap, not criticising what’s there. Guest Access is a big achievement and already a huge step forward. Thank you to you and the team for shipping it.

Hey everyone! Amy here, I’m the marketing manager at Cognito Forms. As a working mom drowning in back-to-school chaos right now, I'm living the exact problem the Client Portal solves. I'm juggling dozens of forms, approvals, and payments across different platforms. We knew from the beginning that the Client Portal shouldn’t feel like a generic third-party tool. Businesses want their clients to log in and feel like they’re entering their space, not ours. To address this, we added the ability to set your own logo and choose custom colors for the user interface. This allows teams to deliver a polished, on-brand experience to their clients. These customizations also apply to the organization itself, not just the Client Portal, so your team members will enjoy a more familiar look on the platform as well.

It really burns me. You make it all so exciting then I find out I have to pay 3 times more than my current plan in order to join in on the excitement. No, it's only branded if I buy in to the Enterprise plan. So maybe your customers did ask for something like this but then you made it elite to only the ones paying the top price for your product.
I don't understand the "Your clients get a secure, password-free login where they can view past submissions, update information, submit new forms, and track progress..." decision. What if the form submissions contain sensitive data, or an employee (or worse yet, a client's employee) leaves the company and should no longer have access to the data? How are you planning to authenticate and manage "password-free" user access? Maybe I am not understanding what you mean by "password-free" - can you elaborate?
Congrats on the launch! Giving clients a simple way to manage their own forms sounds like a huge time-saver.
