Here's my experience:
1. Scheduling project time blocks, and not tasks. I keep a list of tasks and the overall plan for each project. But I don’t schedule them, so when time comes to work at something I just have a quick look and know what to do. For example: if I’m working on a YouTube video, I wouldn’t schedule “write script” or “edit scene X”. I would just schedule “video work” in my calendar.
2. Using TickTick always on the front page for the short-term to-do lists so I get constant reminders.
3. Using shortcuts and productivity tools to help me get rid of repeated work and save much time.
i.e I've recently learned how to use Win + V as an alternative to Ctrl + V for pasting. With Win + V, you can select from multiple items that you've recently copied, rather than just the most recent one. Additionally, you can pin text from your clipboard history that you use often, so you don't have to copy it repeatedly. For security purposes, you can clear your entire clipboard history in one step.
i.e: Use productivity tool such as iBoysoft MagicMenu (https://iboysoft.com/magic-menu/ ) This lightweight software can upgrade the Mac right-click menu with new functions like one-click file creation, item movement, and quick file access, simplifying document management.
I break down big tasks into smaller and manageable steps.
I try to prioritize tasks based on urgency and importance.
Suck it up and do it anyway.
Maintaining a consistent routine helps me stay on track. Even on challenging days, sticking to my usual schedule helps keep my productivity levels steady
A well structured morning routine is key for me. Starting the day with a set plan and tackling the hardest tasks first helps maintain momentum, even when motivation is low.
Breaking tasks down into subtasks in my todo list really helps me tackle challenging projects piece by piece. I also like to timebox my tasks, setting a timer for focused work sprints followed by short breaks. The Pomodoro Technique works great for this. Keeps me chugging along productively even on tough days!
I use the Priority Matrix in the Eisenhower app to classify my todo list into Urgent+Important, Important+Not Urgent, Urgent+Not Important, and Not Urgent+Not Important quadrants. Then I focus on the Important tasks in order of urgency. It helps me stay productive and not get sidetracked by unimportant todos even when motivation is low.
I take regular breaks to avoid burnout and maintain focus.
Tight and well organized plan would be helpful. Don't forget alarming.
For me the secret to staying consistently productive, even on challenging days, is to prioritize tasks, break work into smaller steps, and take regular breaks to recharge. I also focus on setting clear, achievable goals for the day and stay flexible by adjusting plans as needed. Maintaining a positive mindset and practicing self-care, like eating well and getting enough sleep, helps sustain energy and focus throughout the day.
